Step To It Academy – Terms and Conditions 2025/2026
We’ve created these guidelines to ensure all students, families, and staff feel supported, safe, and clear on expectations. They help our classes run smoothly, maintain fairness for everyone, and protect the time and commitment our students and teachers give each week.
Enrolment & Fees

Your child’s place is confirmed once full payment has been received or a Direct Debit plan is in place.

Invoices are issued three times per year: Autumn, Spring, and Summer terms.

Term fees are payable in full at the start of each term unless a monthly Direct Debit option has been agreed.

Extras such as uniform, holiday clubs, workshops, and events are charged separately and are not included in term fee Direct Debit plans.
Payments
-
Payments must be made on time to secure and maintain your child’s place.

Term invoices that remain unpaid 6 weeks from the start of term (unless on a Direct Debit plan) may be issued with a Letter Before Action, giving 14 days’ notice before further recovery action is considered.

Direct Debit payments that fail may incur a £5 administration fee per retry, reflecting charges applied by our payment provider.

We reserve the right to suspend participation in classes until outstanding balances are resolved.

If you are experiencing financial difficulty, please contact us as soon as possible so we can work together to find a solution.
Refunds & Cancellations

Fees are non-refundable in the event of voluntary withdrawal, except where required under UK consumer law.

If your child is unable to attend due to injury, we may offer a credit for future classes upon receipt of a valid doctor’s note.

If Step To It Academy cancels a class, it will be rescheduled where possible or credited to your account.
Notice Period & Withdrawal

Notice to withdraw must be given in writing via email.

Once Summer Show rehearsals have begun, we strongly encourage students to remain until the performance to support their classmates and the overall production.

Withdrawal during a term does not remove the obligation to complete any outstanding payments for that term.
Late Cancellation Fees (per class dropped):
These charges reflect the difficulty in filling spaces at short notice and the associated loss of income.

4 weeks before the end of term: 10% of that class’s term fees

3 weeks before the end of term: 20%
-
2 weeks before the end of term: 50%

1 week or less: 100%

Additional classes may be added at any time, subject to availability, although we recommend starting at the beginning of a term for the best experience.
Attendance & Conduct

Regular attendance supports progress, confidence, and enjoyment.

Students are expected to arrive on time and behave respectfully towards staff and fellow students.

Unsafe or consistently disruptive behaviour may result in removal from class. Any refund in such cases will be at our discretion and in line with consumer law.
Uniform & Appearance

Students are required to wear the correct Step To It uniform and appropriate footwear to maintain a professional standard and ensure safety.
Health & Safety

Parents/guardians must inform us of any medical conditions, injuries, allergies, or additional needs that may affect participation.

Any medical or personal information provided will be handled securely and in accordance with UK data protection laws and used only to support your child’s safety and wellbeing.
Communication
-
Important updates, invoices, and notices will be sent via email. Please ensure steptoit@thinksmartmail.com and steptoit@yahoo.co.uk are saved in your contacts.

Please keep us informed of any changes to your contact details.
Illness & Absence
-
Please notify us as soon as possible if your child will be absent.

Make-up classes may be offered at our discretion but are not guaranteed.
Photography & Video
-
We may occasionally take photographs or videos during classes for promotional or educational purposes.
-
If you do not wish for your child to be included, please notify us in writing.
